The eL@b PreAnalytical optional module manages the processes that occur from ordering tests, creation of shipments and registering the orders in the service laboratory. The PreAnalytical module supports barcoding at every phase of the process, leading to a highly automated work flow. It provides detailed documention for a complete audit of all sample movements, history and status.

It is suitable for managing large, multi-site sample ordering and collection stations. At the same time, small batches of “send-outs” for specialist assay are catered for. The eL@b definition of user privileges allows for assigning various processing tasks per user group. Thus order entry staff, phlebotomists and reception personnel can each be assigned well-defined tasks that are job-related.

There are two parallel processes, physical and documentary, that are linked and occur in tandem. The process begins with creation of test orders prior to the collection of appropriate samples.

Tests are ordered (or received on-line as ordered) and the required matching Specimens collected. The Requests resulting from the process are collated into shipments for transfer to service Laboratories. The matching physical specimen tubes are barcoded and collated into shipments and shipment documents are produced.

On arrival at the service Laboratories the contents of the physical shipments are compared with the shipment documentation.

On acceptance, the requests are moved into the routine order processing provided by eL@b. In the event of physical damage, inappropriate or missing samples, full audit the exceptions is provided.

The eL@b definition of user privileges allows for assigning various processing tasks per user group. Thus order entry staff, phlebotomists and reception personnel can each be assigned well-defined tasks that are job-related. An individual User can be registered simultaneously at more than one station. A person logs on for PreAnalytical tasks using a dedicated PreAnalytical User Name, and logs on to routine using the routine User Name.

When a User logs on at a station, the User PreAnalytical configuration setting determines whether the station, with its Location, is PreAnalytical or routine for that session.

Orders Module

The Orders module manages the process of ordering tests, creating sample records and ensuring that the specimen tube barcodes match the sample record barcodes. Test orders can be entered into the Order Directory either manually or on-line. PreAnalytical orders can be viewed only from within the Orders Directory. When ordered, eL@b creates patient requests with one or more samples. eL@b assigns a computer-generated temporary Request barcode №. eL@b can print labels with the computer-generated temporary barcode and these can be attached to the sample containers.

The system assigns a pre-configured default service laboratory for each sample. At this phase, the physical specimens have not yet been collected. The specimens are collected at a Specimen Collection Station and the temporary barcode replaced with a permanent barcode.

Shipment Module

The Shipment module processes the management of bulk shipment of sample tubes. Sample containers are collated into shipments. The shipment documentation has each container ID, the tests to be performed for each container and the target service laboratory or site. New shipments can be created and shipments can be sent, deleted or printed.

Authorized Users within the service Laboratory also access the Shipments module. On reception, the physical contents are compared with the shipment documentation. Final barcodes are accepted by reading in the sample tube barcode.

Upon acceptance, the Sample record is automatically moved from the Orders Directory to the main system. The system allows for rejection of specimens and Samples if required.

The nature of the workstation, either sample collection station or service laboratory workstation, is determined by the type of user logon. Thus every station can serve either function
